Hiring Administrative Medical Assistant

Columbus Behavioral Health is looking for a customer focused individual to facilitate positive patient experiences in our practice by providing administrative support to our growing psychiatric medical team. In addition to performing general administrative tasks, the Administrative Medical Assistant functions as a liaison between patients and prescribers, promptly addressing patient questions and concerns and documenting issues in progress, assuring they are completed in a timely manner.

Responsibilities include:

  • Answering patient calls to the medication/refill line and responding to messages sent through the patient portal
  • Scheduling patient appointments
  • Researching prescription/refill issues, which may involve calling pharmacies, reading chart notes and reviewing medications entered into prescribing software
  • Alerting prescribers about reported side effects, obtaining instructions from the prescriber and clearly communicating them with the patient
  • Initiating and completing prior authorizations
  • Greeting patients in the office
  • Providing any necessary assistance to prescribers in the office so they stay on schedule
  • Uploading GeneSight results to charts and sending to patients
  • Entering new patient information into prescriber software
  • Completing forms, letters, and work/school excuses
  • Performing additional administrative tasks, as assigned

Competencies needed

  • Familiarity with basic medical terminology and psychiatric medications
  • Knowledgeable of and adherence to HIPAA standards of privacy and confidentiality
  • Strong interpersonal communication and computer skills
  • Attentive to detail and follow through
  • Problem-solver
  • Ability to show compassion, de-escalate stressful situations, advocate for patient needs and collaborate with prescribers on resolutions

Education and Experience

  • HS diploma required; Associates or Bachelors degree preferred
  • Previous experience in behavioral or medical health care setting preferred
  • Billing experience helpful but not required


  • Hybrid remote/in-office options available (3 office locations, may rotate)
  • PT, may expand to FT in future
